Organize your workforce with employee profiles and team assignments. Control who sees which jobs, streamline scheduling, and keep your crews focused on their daily work.

What You'll Set Up

Employees - Add team members with contact info, roles (Owner, Admin, Employee), and hourly rates for tracking

Teams - Create crews by grouping employees together. Teams can be organized by specialization, area, equipment, or shifts

Job Assignment - Assign teams to jobs to control visibility and responsibility

Dashboard Access - Employees see only jobs assigned to their teams for today and tomorrow

Creating an Employee

Add team members who can access the app and manage jobs.

Employee Information:

• First Name - Required
• Last Name - Required
• Email - Required (used for login)
• Phone - Required
• Employee Role - Select from dropdown:
  • EMPLOYEE - Standard team member access
  • ADMIN - Enhanced management permissions
  • OWNER - Full business control
• Employee Rate (per hour) - Optional hourly rate for tracking

Note: Role permissions are detailed in the app. Custom roles and more specific permissions are planned for future updates.

Getting Started: When you create an employee, a password reset email is automatically sent to their email address. Once they set their password, they can log in and start using the app.

Pricing: There's no limit on employees and no additional charges. One subscription covers your entire business and all employees.

Future Functionality: Employee rates are currently for tracking purposes only. Extended payroll and time-tracking features are planned.

Creating a Team

Organize employees into teams for better job assignment and scheduling.

Team Setup:

• Team Name - Give your team a descriptive name (e.g., "A Team," "Mobile Unit 1")
• Select Employees - Check boxes to add employees to this team
  • Shows employee name, role badge (OWNER, ADMIN, EMPLOYEE), email, and phone
  • Select as many employees as needed

Flexible Assignment: Employees can be on multiple teams, giving you flexibility to organize crews by:

• Service specialization (interior team, exterior team)
• Geographic area
• Vehicle/equipment assignment
• Shift schedules

Managing Employee Teams

View which teams an employee belongs to from their profile.

Employee Details - Teams Tab: Shows all teams this employee is assigned to. This helps you quickly see:

• Which crews the employee works with
• Team assignments for scheduling
• How workload is distributed

Teams make it easy to assign jobs to entire crews instead of individual employees, streamlining your scheduling process.

Team Assignment and Usage

Teams aren't just for organization—they control which jobs employees can see and work on.

Assigning Teams to Jobs: When creating or editing a job, you can assign one or more teams from the dropdown. The job details show:

• Team name with avatar
• Checkmark indicator when selected
• Multiple teams can be assigned to the same job

How Team Assignment Works:

• Jobs are visible to employees based on their team membership
• If you're on Team A, you only see jobs assigned to Team A
• If you're on multiple teams, you see jobs for all your teams
• If you're not on any teams, you won't see jobs on your dashboard

Employee Dashboard

The dashboard shows employees their relevant jobs for today and tomorrow—only the jobs they're assigned to through their teams.

Dashboard View Shows:

• Date Header - "Tomorrow Nov 10"
• Job Card with key information:
  • Team assignment and employee avatar
  • Job status (BOOKED)
  • Service category badge and price
  • Time window and estimated duration
  • Client name and phone (with quick actions: map, edit, info)
  • Job items count
  • Individual service items with pricing and status

Quick Actions from Dashboard:

• Start the job
• Mark job items complete
• View full job details
• Edit job information
• Get directions to job address
• View client details
• Finish jobs

Purpose: The dashboard keeps employees focused on their assigned work for the current and next day, eliminating confusion about which jobs they're responsible for.

Why This Matters:

• Employees only see their relevant jobs
• No clutter from jobs assigned to other teams
• Clear daily schedule at a glance
• Quick access to everything needed for the day's work
• Reduces scheduling confusion and improves efficiency

Job Progress Tracking

Employees can track and update job status directly from the dashboard.

Job In Progress:

• Individual job items show completion status with checkmarks
• Visual timeline connects job items showing progress
• "Finished" button becomes active once all items are ready to complete
• Real-time updates as services are marked complete

Job Completed:

• All job items marked complete with green checkmarks
• Timeline fully connected showing completion
• Job card indicates finished status
• Ready to move to the next appointment

This visual progress tracking keeps everyone aligned on what's been done and what's remaining, eliminating confusion during multi-service jobs.
